Job Description

Our client is looking to recruit a Store & Logistics Coordinator to join their team. The ideal candidate will report to the Procurement, Logistics and Supply Chain Manager.

Position Objectives

  • To lead the Stores and Logistics team and take an autonomous stand on the operations on inbound and outbound logistics.
  • Ensure that direct and indirect customers to the store and logistics function is adequately serviced.
  • Maintain an optimum level of stock items to positively impact cash flow on a continual basis. Accountable for the integrity of information shared with the accounts department and propose action plan with respect to variances detected.

Qualifications

Basic Qualification / Education / Vocational Training:

  • Advanced qualification in Store and Logistics and/or Supply chain.

Advanced Qualification / Certification / Specialist Training:

  • On the job training coupled with tailor made training in supply chain and store management.

Minimum Experience:

  • At least 4 to 5 years in a similar post with a sound knowledge of logistics management.

Desired Experience:

  • Experience in production environment.

Area of Responsibility

Finished Goods Store Management and Delivery:

  • Ensure the stock of finished products is available and communicated to concerned parties and agree on way forward for all deviations.
  • Manages the optimum storage capacity v/s product availability.
  • Manages the store personnel to prevent variances in stock inventory and take necessary corrective action.
  • Ensure that proper delivery services being always offered to concerned parties, aiming for service improvement and problem solving on matters arising.
  • Accountable for the safe storage of all finished goods.
  • Work in conjunction with the Maintenance lead for all repairs that need to be done to stores and logistics infrastructure.
  • Manage the delivery area to ensure that all prevailing rules and conditions are respected.
  • Monitor and ensure that all delivery equipment falling under the stores and logistics area are maintained in good running condition.
  • Ensure proper invoicing services is always offered to customers.
  • Review as appropriate, the invoicing procedure for improvement in our service level and ensure all staff adhere to the set procedure.

Spare parts Stock Management:

  • Ensure minimum stock of spare parts availability to cater for proper upkeep of equipment.
  • Conduct regular meetings with the Maintenance lead to plan forward concerning the needed parts form store and part to be reordered.
  • Follow the rate of spare parts utilization to implement reorder level and minimum stock level.
  • Report on the cost of stock and provide proper analysis and set action plan for keeping stock value as per set KPIs.
  • Ensure proper labelling and stacking on shelf in an orderly manner.
  • Ensure that stock inventory is conducted and report on any deviations found regularly.
  • Ensure that total stock value is being maintained as per set KPIs.

M.R.P Management:

Close follow up on the following production consumables:

  • Empty bags stock level/product.
  • Stretch hood and flat foil plastic.
  • Additives.
  • Wooden pallets.
  • Sewing thread/Ink and other production consumables.
  • Report on the above stock level and number of days of stock monthly.
  • Receive from the Production Lead all production reports for raw material consumption and ensure that upload on ERP after verification/ reconciliation is being completed within time frame.
  • Ensure that all variations in raw material consumption is communicated at each month end.
  • Compile and submit monthly report for all stock items and activities to the accountant and provide any other reports/analysis pertaining to stock for proper issuing of Management accounts.
  • Report on all the raw material consumption (Deltamix report v/s physical stock) with the Production lead and Factory manager.

Outbound Logistics:

  • Ensure proper stock report and forecast for Finished goods and Empty Bags is being maintained.
  • Ensure adequate supply of products and services is being maintained for all export orders.

Inbound Logistics:

  • Ensure proper stock report and forecast is being maintained for Empty bags and Additives and agreed KPI is being respected in terms of stock levels.
  • Have an overview on all import orders initiated until reception in store.

Procurement:

  • Ensure that all PO requests are being attended within prescribed time frames.
  • To cater for continuous supplier evaluation in terms of products/quality/price and service and ensure that procurement conditions are their best.

Leadership and Management:

To lead and manage the team to have fully competent and motivated employees who will fully achieve the Department’s objectives by:

  • Setting clear objectives for subordinates, delegating, and following up tasks assigned and developing medium- and short-term action plans for the department that satisfy the company’s vision and objectives for that period.
  • Evaluating subordinates on a regular basis to know whether set objectives are being attained and what new objectives need to be set.
  • Organizing regular meetings with teams on projects’ follow ups, action plans set to achieve departmental objectives and actions required to improve performance of departments.
  • Inspiring his team towards common goals and improved results, ensuring good industrial relations, and fostering effective teamwork.
  • Managing and rewarding performance fairly and effectively.
  • Liaising with other departments daily to understand their demands and agree on how the department may respond to such demands.

Quality and Customer Service:

  • Support the team to come to the root cause of non-conformities and put in place sustainable solutions and controls.
  • Ensuring that procedures are communicated and strictly followed by everyone to satisfy external & internal customers’ requirements.
  • Propose solutions and review procedures that are inadequate in satisfying customers’ requirements and improving quality of service as and when required.
  • Proper & prompt channeling of communication towards stakeholders.

Health and Safety S3:

To follow up on all Health and Safety rules, regulations, and policies to ensure that all employees adhere to a high level of safety and health by:

  • Ensuring that Safety and Health Policies and Procedures are documented and communicated to everyone concerned (Employees and subcontractors) and that they are strictly followed.
  • Making sure that Safety and Health remains the utmost priority for the department and sensitizing staff and employees regularly on its importance.
  • Monitoring Safety and Health norms and regulations
  • Actively inspiring team members to participate in S3 program.
